How do I book an event at the Terre Haute Convention Center?
Complete our Request for Proposal form and a member of our sales team will contact you to learn more about your event, space needs and available dates.

Room rental includes:
- Complimentary Wi-Fi
- One lectern, if needed and available
- Standard black table linens and napkins
- Tables and chairs
- Setup and teardown of tables and chairs
Food and beverage, audio visual services, specialty linens and decorations may involve additional charges.
When is payment due?
Fifty percent of the room rental is due upon submission of the signed License Agreement. The remaining balance is due at the final meeting or ten days prior to the event.
Can we move into the room the day before our event?
Early move-in may be available for an additional fee when the space is not rented to another client. Discuss your setup and move-in needs with your Sales Manager.
Do I have to provide insurance for my event?
Insurance is required for events taking place at THCC. Clients may provide a certificate of insurance meeting the coverage requirements outlined in their agreement.
If you are unable to obtain your own event insurance, THCC can provide event insurance at a cost of $1.15 per person.
Will THCC sell tickets for my event?
No. Clients are responsible for ticket sales, event promotion and reservations for their own events.

How much meeting and event space is available?
The Terre Haute Convention Center offers flexible meeting, banquet and event spaces that can accommodate groups of varying sizes and event formats.

The Grand Ballroom can be divided into six separate spaces, and additional meeting rooms provide more options for breakout sessions, meetings and smaller gatherings.

Yes. THCC offers in-house technology services including projectors, screens, multiscreen distribution, wireless and wired microphones, and internet services.
Outside equipment and service providers must be approved by management in advance.
Is Wi-Fi available?
Yes. Complimentary Wi-Fi is available throughout the Terre Haute Convention Center. Additional technology services may be available depending on your event needs.
Is parking available onsite?
Yes. THCC is connected to a five-level parking garage with 450 spaces, including 17 ADA-compliant parking stalls and elevator access.

THCC offers accessible parking, sidewalk ramps, automatic doors, accessible restrooms, elevators and a limited number of complimentary wheelchairs.
Guests or planners requiring additional assistance should contact their Event Manager in advance.
Accessibility InformationWhere should I stay when attending an event at THCC?
The Terre Haute Convention Center is connected to the Hilton Garden Inn, allowing convenient access between the hotel and convention center. Additional hotels are also located nearby.
Where is the closest ATM?
Several banks and ATMs are located within walking distance of the Convention Center in downtown Terre Haute.
Event Policies & Special Requirements
What Should I Know Before Planning My Event?
Some events have additional requirements based on format, attendance, entertainment, alcohol service and facility use. Review common policies and planning considerations below.
Can I decorate the room myself?
Yes. You may bring your own decorations as long as they comply with THCC decorating and facility policies.
Please discuss decorating times and any special setup needs with your Event Manager. Decorations and event materials must be removed following the event as required by your agreement.
Do you require security for events?
Security is required for all events serving alcoholic beverages and for events open to the public.
Required security is arranged and provided through the Terre Haute Convention Center. Clients may not provide their own security. Certain events or activities may require additional officers as determined by THCC management.
Are there additional requirements for events open to the public?
Yes. Public events may have additional requirements based on attendance, event format and activities.
Security is required for events open to the public and is arranged through THCC. Additional security or operational requirements may be determined by management during the planning process.
Can I rent the Convention Center just for a party?
THCC hosts a variety of private celebrations and special events. The facility is designed for professionally planned events with an established event format, appropriate setup and applicable food, beverage and security services.
Large open-party or standing-room formats may not be appropriate for the facility. Our Sales Team will review your event plans and requirements during the inquiry process.
Can I host a college or student event at THCC?
Certain college, university and student events can be accommodated. Event format, attendance, supervision, security, food and beverage service, and facility requirements will be reviewed during the planning process.
Large standing-room parties or events centered primarily around alcohol service may not be appropriate for the facility.
Can I have a DJ or live band at my event?
Yes. DJs, bands and other entertainment can be incorporated into many events.
Entertainment, staging, electrical, audio and production requirements must be discussed with your Sales Manager in advance. Outside audio visual and production providers require approval from THCC management.
What happens if my event causes damage or requires excessive cleaning?
Clients are responsible for following THCC facility policies and for the condition of their event space.
Additional cleaning, repair or damage charges may apply when an event results in excessive cleanup or damage beyond normal event use.
What items are prohibited inside THCC?
Certain items are prohibited to help protect our guests and facility. These include:
- Confetti, glitter and sequins
- Helium balloons
- Birdseed and rice
- Beach balls and inflatables
- Laser lights and pointers
- Drones
- Floor tape and unapproved adhesives
- Nails, staples, tacks and items that may damage walls or doors
- Hoverboards, bicycles and skateboards
- Outside food and beverage
- Illegal substances
- Weapons, ammunition, explosives and fireworks
- Stun guns, tasers and similar weapons
- Aerosol cans and noisemakers
- Non-service animals
Please contact your Event Manager before bringing unusual equipment, decorations or production materials into the facility.
Are service animals allowed?
Service animals are welcome in accordance with applicable accessibility requirements. Non-service animals are not permitted inside the Convention Center.
What is THCC's smoking policy?
The Terre Haute Convention Center is a non-smoking facility. Smoking areas are available outside and away from the building.

Information for organizations and planners handling administrative requirements for their event.
How can my organization qualify for tax exemption?
Organizations seeking Indiana sales tax exemption must provide the appropriate documentation required by the Indiana Department of Revenue. Form NP-1 has replaced Form ST-105 for nonprofit organizations.
Please provide applicable tax-exemption documentation to your THCC representative. Current requirements and forms are available through the Indiana Department of Revenue.

Catering Questions
Learn more about in-house catering, menu planning, dietary accommodations, food and beverage policies and bar service.
Can alcohol be served at my event?
Yes. Bar service is available and must be managed and served exclusively through the Terre Haute Convention Center.
Food service is required with bar service. Security is also required for all events serving alcoholic beverages and is arranged and provided through THCC.
All beverage service must follow applicable state laws and THCC policies. Guests consuming alcohol must be 21 or older and may be required to present valid identification.
Can I have bar service without food?
No. Food service is required for events with alcoholic beverage service. Your Sales Manager can help you select food options appropriate for your event size, format and budget.
Can I bring my own alcohol, bartender or security?
No. Alcoholic beverages and bar service must be provided exclusively through the Terre Haute Convention Center.
Required security for events with alcohol is also arranged and provided through THCC. Outside alcohol, bartenders and client-provided security are not permitted.
